HR Officer
Winchester College is seeking a professional, efficient, and responsive HR Officer to join our Human Resources team. This is a key role providing comprehensive administrative support across a broad range of HR activities. The successful applicant will assist in the delivery of day-to-day operations, including contractual changes, absence administration, compliance, and employee relations support. This role is designed to provide flexible administrative support, ensuring that both routine and time-sensitive tasks are handled with a high degree of accuracy. The postholder will have the opportunity to develop skills across a wide spectrum of HR activity, with scope for training and longer-term progression as the role develops.
The Role
As a core member of the HR function, you will be responsible for ensuring that routine HR queries and administrative requests are handled promptly and effectively. This position requires a proactive approach to maintaining the integrity of employee data and supporting the smooth operation of the department for both Winchester College and The Pilgrims’ School.
Your key responsibilities include:
HR Administration & Employee Lifecycle
- Documentation: Preparing and issuing routine HR correspondence, including amendment to contract letters, tenure extensions, and leaver documentation.
- Process Support: Administering key processes such as probationary reviews, absence management, family leave, and offboarding.
- File Management: Maintaining accurate, confidential employee records and personnel files, including scanning, uploading, and archiving documents to ensure compliance.
- Enquiry Handling: Responding to routine HR queries from staff and managers and escalating complex issues where appropriate.
Systems, Reporting & Compliance
Data Management: Maintaining accurate data on HR systems and running routine reports as required by the team.
- Absence Monitoring: Supporting the accurate input and monitoring of staff absence records and following up with line managers for missing information.
- Compliance & Governance: Supporting workforce data gathering (including census-related activity), training requirement tracking, and policy review administration.
Payroll & Employee Relations Support
- Pay Processes: Assisting with payroll changes and the annual pay review process, including mail merges and the preparation of salary statements.
- Meeting Support: Providing administrative support for formal HR processes and acting as a trained note-taker in disciplinary, grievance, and other employee relations meetings.
- Confidentiality: Maintaining the highest standards of professionalism and confidentiality when handling sensitive employee matters.
General & Recruitment Support
- Project Assistance: Administering the Cycle to Work scheme, updating the "Family Lanyard" tracker, and providing administrative support to the HR Director and wider team as applicable.
- Recruitment: During peak periods, providing support for recruitment administration and undertaking escorting duties on interview days.

The successful candidate will be a well-organised and methodical professional who thrives in a collaborative, busy environment. You will be able to remain calm and accurate when handling time-sensitive tasks and possess a flexible approach to changing priorities.
Essential Skills & Qualities
- Education: Educated to A-level standard or above.
- Experience: Previous administrative experience in an office or professional environment.
- Detail-Oriented: Strong organisational skills with a meticulous attention to detail and accuracy.
- Communication: Good written English and the ability to communicate effectively across the organisation.
- Discretion: Proven ability to handle confidential and sensitive information with total discretion.
- IT Literacy: Good IT skills, including Microsoft Office, with the ability to learn HR systems quickly.
- Collaboration: A supportive and collaborative approach to working within a busy team.
Desirable
- Previous experience in an HR administrative role or recruitment administration.
- Experience in absence recording, payroll-related administration, or using HR systems.
- Experience in the education, charity, or not-for-profit sectors.
- A CIPD qualification, or an interest in working towards one.
- Experience of taking notes in formal meetings.
What We Offer
- Start Date: Flexible, with a preference for the successful candidate to commence as soon as possible.
- Salary: A competitive salary of £29,000 per annum, commensurate with qualifications and experience.
- Hours of Work: This is a full-time role, 37.5 hours per week, with additional hours as reasonably necessary to meet the needs of the College.
